Job Summary: Assistant Property Manager - Fisher Building
PLEASE NOTE: Commercial Property Management experience is required.
As the Assistant Property Manager, you will support the Property Manager in overseeing daily operations, tenant relations, and administrative functions for the iconic Fisher Building in Detroit. Your role will involve coordinating tenant services, supporting building operations, managing vendor contracts, and ensuring smooth office procedures. Key Responsibilities:
Building Operations & Administration
- Support the Property Manager in maintaining building systems, ensuring all mechanical/electrical systems operate efficiently.
- Assist in managing tenant requests, including logging requests in the work order system, billing for tenant-specific needs, and responding within 24 hours.
- Coordinate with vendors on scheduling, performance tracking, and service requests including placing orders for supplies and equipment.
- Process vendor invoices, ensure correct budget coding, and assist in vendor contract preparations.
- Conduct weekly janitorial inspections, update the monthly janitorial square footage report and distribute to PM and janitorial company.
Tenant Relations & Support
- Build positive tenant relationships, serving as a first point of contact for inquiries and support.
- Lead in coordinating tenant appreciation events.
- Administer access management for building cards, keys, and fobs, maintaining security and organization.
- Assist in enforcing lease compliance, including sales reporting, HVAC requirements, and insurance certificates.
- Collaborate with the Property Manager and Building Engineer on building operations, maintenance, and tenant communication.
Financial & Office Management
- Support financial management by assisting with budget preparation, accruals, monthly reporting, expense tracking, and vendor contract reviews.
- Prepare tenant billings, manage receivables, and assist in preparing financial reforecasting and reporting.
- Maintain organized electronic lease and vendor files, ensuring all documents are current and accessible.
- Manage office supplies, support conference room setups, and ensure the management office is well-stocked and organized.
Qualifications:
- Bachelor’s degree preferred, with a focus on Business, Real Estate, or a related field.
- 3-5 years of Commercial administrative or Commercial Property management experience.
- Exposure to Property Accounting.
- Proficiency in property management software (MRI preferred) and the Microsoft Office suite.
- Strong organizational and communication skills.
- Detail-oriented, proactive, and able to handle multiple tasks in a fast-paced environment.
Skills and Abilities:
- Excellent customer service skills with a tenant-focused approach.
- Familiarity with commercial lease terms and compliance requirements.
- General knowledge of building operations, maintenance, and vendor coordination.
- Ability to thrive in a dynamic environment while supporting a historic property with a significant community role.
